Common Work Habits That Put Data at Risk

It’s every employee’s duty to protect sensitive company data, and most are happy to comply. Some even sign a confidentiality agreement when they first start their job.

However, there are many things you’re likely doing that could give hackers easy access to personal and company data without you realising. In these times of increasing cybercrime, fraud, and identity theft, it’s more important than ever to remain vigilant and on the alert for anything that might give data thieves an advantage.

Passwords

One of the easiest ways hackers can steal sensitive data is to crack the passwords. They use ever more sophisticated software that can crack a weak password in a matter of minutes. Always use a password with at least 9 characters of upper and lower-case letters, numbers, and symbols. Make sure to change it regularly, and never write it down near the device.

Not Clearing Your Desk

When you’re using sensitive documents, don’t spread them all over your desk. Gather them up immediately and put them back in their safe places when you’re done with them. Companies should implement a Clean Desk Policy where everyone clears their desk whenever they step away from it, and at the end of the day.

Not Shredding Important Documents

Once you throw important documents in the bin, you can’t be sure of where they’ll end up. That sensitive data could fall into the wrong hands, and the results could be disastrous. There’s also the problem of what constitutes sensitive data, as everyone has a different opinion. The easiest way to combat the issue is to shred all documents, or store them together for a document shredding company to collect.

Not Using a VPN for Public Wi-Fi

If you use a public Wi-Fi hotspot to access the internet, your data can be intercepted by hackers and stolen. Always use a Virtual Private Network (VPN) when using unsecure Wi-Fi networks to prevent data theft.

Working in Public Places

When you’re working on your device in busy public places, be aware of who can see your screen and possibly steal vital information. Always try to sit with your back to a wall, and use screen privacy filters so people next to you can’t read your screen.

Not Destroying Old Devices

When you replace your old device with a new one, it’s important to have it properly destroyed by a secure product destruction company. This prevents personal data being lifted from the hard drive. Even if you’ve erased it, the data can still be retrieved by hackers.

Not Keeping Operating Systems and Software Updated

Outdated software and operating systems can pose security threats, and make it easier for hackers to steal personal information. Always ensure your software is using the most recent version, and set your device to automatically update the operating system and software it uses.
